JOB POSITION: Practice Manager 

REPORTS TO: GP partners 

HOURS: 37.5 HOURS (Hours to be decided) 

Pay: Pay is negotiable dependant on experience

Job Summary: 

We are a friendly, welcoming and well established GP Practice in Bamber Bridge with a list size of over 10,000 patients. We are well located for easy commuting. We are a short distance from M6/M61/M65 We are looking to employ a Practice Manager to take on a leadership role and responsibility for the smooth, efficient and profitable running of the Practice, and maintaining a happy and committed team. Take responsibility and take action to keep all staff (clinical and non clinical) abreast of forthcoming changes in the NHS and giving them options for responding to change. 

Job Responsibilities: The post holder will: 

  • Monitor and evaluate performance of the practice team against objectives whilst managing change 
  • Develop and maintain effective communication both within the practice and with relevant outside agencies including the practice website and NHS Choices 
  • Manage practice staff in accordance with employment laws and business policies/protocols 
  • Manage Patient Services & Patient Information IT & Premises Management, H & S (Infrastructure) Performance Management 
  • Monitor practice achievements against implemented contracts (QOF, Quality Contract amongst other implemented contracts. 
  • Work closely with the Business Operations Manager of the PCN and surgeries within the PCN 

Financial Management 

  • Maximise income through Enhanced Services/PPA/Prevalence/QOF/Quality Contract amongst other implemented contracts. 
  • Manage appropriate systems for handling and recording of cash, cheques and petty cash 
  • Manage Payroll & Pensions 
  • Work with the accountant to project current income streams & projections for the future 

Human Resources 

  • Recruitment and retention of admin staff and provide a general personnel management service 
  • Responsible for the line management of non-clinical practice staff 
  • Monitor skill-mix and manage staffing levels 
  • Evaluate, organize and oversee staff induction and training and ensure that all staff are adequately trained to fulfil their role 
  • Ensure effective staff appraisal and monitoring systems 
  • Support and mentor staff, both as individuals and as team members 
  • Maintain up-to-date HR documentation (including job descriptions, employment contracts and employment policies) 

Organisational 

  • Convene meetings, prepare agendas and ensure distribution of minutes as necessary 
  • Ensure adherence to protocols and procedures 
  • Ensure that practice premises are properly maintained and cleaned and that adequate fire prevention and security systems are in place 
  • Arrange appropriate maintenance for practice equipment 
  • Patient Services Development and management of patient services 
  • Ensure that the practice complies with NHS contractual obligations in relation to patient care 
  • Maintain registration policies and monitor patient turnover and capitation 
  • Oversee repeat prescribing systems 
  • Oversee and manage an effective appointments systems 
  • Oversee and/or organise surgery timetables, duty rotas and holiday cover 
  • Routinely monitor and assess practice performance against patient access and demand management targets 
  • Adhere to business patient policies and effectively manage patient complaints 
  • Liaise with patient groups/PALS Information Management and Technology 
  • Motivate, support and monitor staff in the use of IT Monitor data entry and data collection 
  • Ensure that the practice has effective IT data security, back-up, maintenance and disaster recovery plans in place 
  • Maintain the practice’s page on the company’s website and keep NHS Choices completely up to date

Health & Safety: The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the practice Health & Safety Policy, to include: Using personal security systems within the workplace according to practice guidelines Identifying the risks involved in work activities and undertaking such activities in a way that manages those risk Making effective use of training to update knowledge and skills Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards Reporting potential risks identified.

Contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the team’s performance. Work effectively with individuals in other agencies to meet patients needs. Effectively manage own time, workload and resources. 

Communication: The post-holder should recognize the importance of effective communication within the team and will strive to: Communicate effectively with other team members Communicate effectively with patients and carers Recognise people’s needs for alternative methods of communication and respond accordingly.

You will be interview by the GP partners and may be required to make a presentation. Short listed candidates will be advised of requirements prior to interview.
